Save a search and share it with your team
A saved search remembers the search words and filters on a list, so you can return to the same view in two clicks. You can keep a saved search for yourself or share it with everyone in your organisation.
Saved searches work on the Opportunities, Applications (live and archived), Employers and Contacts lists. Each saved search belongs to the list you saved it on.
Save a search
You need to be a User, Admin or Team Owner to save searches.
- Search and filter the list until it shows what you want. See Search a list and use the filter bar.
- Select Saved searches, then Save as a new search.
- Type a Name, for example "Interviews this week".
- Under Type, choose:
- Save for Me: only you can see it.
- Save for My Team: everyone in your organisation can see it.
- Select Save.

Open a saved search
- Select Saved searches, then View saved searches.
- The window lists My searches and Team searches. Select the name of the search.
The list shows the saved filters, and the heading above the chips reads Saved search: followed by its name.
Change a saved search
- Open the saved search.
- Change the search words or filters.
- Select Saved searches, then Save changes to this search.
To rename or delete a saved search, open Saved searches → View saved searches and use Edit or Delete beside it.
Who can see and change saved searches
| Saved as | Who sees it | Who can change or delete it |
|---|---|---|
| Save for Me | You | You |
| Save for My Team | Everyone in your organisation | Anyone in your organisation |
Read Only users don't see Save as a new search, but they can open saved searches.
A team search belongs to the organisation you were working in when you saved it. If you work in more than one organisation, switch to the right one before you save.
Good to know
- A saved search keeps your filters, not a list of records. When you open it, it shows the records that match now.
- On the Applications list, an area you draw on the map is saved with the search. See See Applications on a map and filter by area.
- If an Admin hides a filter in Settings → Search filters, saved searches that use it keep working.
- If an Admin switches off a custom field filter, saved searches that use it stop filtering by that field.
- Saved searches → Reset search clears the search words and filters, and leaves the saved search as it was.
